Privacy Policy

1. Overview

AthleteSignal Technologies LLC ("AthleteSignal," "we," "us," or "our") is committed to protecting the privacy of athletes and families who use our platform. This policy explains what we collect, how we use it, who we share it with, and your rights over your data.

We do not sell your data. We do not use athlete data to train AI models without explicit consent. Questions: privacy@athletesignal.com.

2. What We Collect

Information you provide

Account registration details (name, email address, password)
Athlete profile information (sport, graduation year, grade level, academic information, athletic achievements)
Communication drafts and outreach history
Recruiting pipeline data (schools, contacts, notes, deadlines)
Payment information (processed by a third-party provider; we do not store card numbers)

Information collected automatically

Usage data (features used, pages visited, time spent)
Device and browser information (type, operating system, screen size)
Log data (IP address, access times, referring URLs)
Crash reports and performance diagnostics

We do not collect date of birth, Social Security numbers, medical records, or sensitive financial data. We collect only what is necessary to provide the service.

3. How We Use Your Information

Provide, operate, and improve the platform
Personalize the Signal intelligence experience based on your athlete's profile and goals
Send transactional communications (confirmations, password resets, important updates)
Respond to support requests
Detect and prevent fraud, abuse, and security incidents
Understand aggregate usage patterns to improve features
Comply with legal obligations

We do not serve third-party advertising, build advertising profiles, or sell your data to coaches, universities, or recruiting services.

4. Athlete Data and Minors

AthleteSignal is designed for student athletes in grades 9 through 12 and beyond. All athletes must be at least 13 years of age. At registration, a parent or guardian must certify the athlete is 13 or older. We do not collect date of birth — eligibility is based on self-reported graduation year and grade level.

We do not knowingly collect personal information from children under 13. If we identify or are notified that an account belongs to a user under 13, we will promptly suspend access and delete the account and all associated data.

All athletes under 18 access AthleteSignal through a parent or guardian account. Parents and guardians control what information is entered, who can see it, and what the athlete can access.

Athlete profile data is owned by the family and is not visible to coaches or third parties unless a family explicitly chooses to share it. We comply with COPPA and applicable state laws regarding the privacy of minors.

A family can see which college programs hold access to their athlete's profile, and the date each program opened it or watched film. A family can revoke a program's access at any time.

5. How We Share Your Information

We do not sell your personal information. We share data only in these limited circumstances:

With service providers (cloud hosting, payment processing, analytics) operating under strict data processing agreements
With your explicit consent, when you choose to share your profile or outreach materials with a coach or organization
With a college coach, when your family — or your athlete's high school athletic department — chooses to share a profile into that coach's console (see Section 6)
When required by law, court order, or to protect the safety of users or the public
In the event of a merger or acquisition, with advance notice and continued privacy protections

We do not sell or license athlete information to coaches, universities, recruiting services, or anyone else. A college coach sees a profile only because your family, or your student's high school athletic department, chose to share it with them.

6. College Coaches and the Coach Console

Coaches at colleges and universities can hold an AthleteSignal coach console. A console is a mailbox: it shows only the profiles that families, or a student's high school athletic department, have chosen to share with that coach's program. Coaches cannot search or browse athletes, and there is no directory. A console stays empty until someone shares a profile into it.

What we collect about a coach

A coach's email address, and, where they provide them, their name, their role at their school (chosen from a fixed list), and their school. We also store a record of each sign-in session, and a one-way hash of the IP address that requested each sign-in link, which we use to rate-limit sign-in requests. We do not store the IP address itself.

How a coach signs in

By emailed one-time link only. Sign-in links are single-use and expire within minutes. There is no password, and a coach console is not connected to any Google or other third-party account.

How we use it

The name and role a coach provides are shown to the family whose profile they hold, and to other staff on the same program, so a family can see who has access. We use the email address to send sign-in links, to notify a coach when a colleague asks to join their program, and — only if the coach turns it on — to send a weekly summary of what families shared that week. That summary is off unless a coach enables it. We do not send coaches marketing email, we do not sell or rent coach contact information, and we do not use it to build advertising profiles.

What we record about what a coach does

When a coach opens a shared profile, watches film, or views a family's or a high school's contact information, we record that access. Families are shown that a program opened their athlete's profile, that a program watched film, and the date. Families are not shown which individual staff member opened it, how long they spent, or how many times they returned. Coaches cannot turn this recording off — there is no private viewing.

Notes a coach's program keeps

A coach can mark a shared profile as starred or passed, and can post what their program is recruiting for. Those marks are visible only to staff on that coach's own program and are never shown to the family or to the athlete's high school. They are not ratings, rankings, or scores, and we do not publish, sell, or share them.

Verification

We check a coach's email address against the coaching staff listed on their school's own public athletics pages. Where that check does not resolve, a member of our staff reviews the account before the coach can post a program need. Verification rests on a proven email address; a name a coach types is never treated as evidence of who they are.

How long we keep it

A coach's console record persists while their console is active. Sessions expire on a schedule and are revoked immediately when a coach leaves a program. Records of access to an athlete's profile are retained as part of that family's own audit trail, because they exist for the family's benefit rather than ours.

A coach's own rights

A coach can correct their name, role, school, and weekly-email preference from inside their console at any time, and can leave a program, which ends their access to everything shared with it. To request deletion of a coach console record, write to privacy@athletesignal.com.

7. Data Retention

We retain account information for as long as your account is active. Upon account closure, we delete or anonymize personal data within 90 days, except where retention is required by law, fraud prevention, or dispute resolution. Athlete profile data can be deleted on request at any time without closing your account.

8. Security

We use industry-standard security measures including encryption in transit (TLS) and at rest, access controls, and regular security reviews. No system is perfectly secure. Contact us immediately at privacy@athletesignal.com if you suspect unauthorized access to your account.

9. Your U.S. Privacy Rights

Residents of California, Virginia, Colorado, Connecticut, Texas, and other states with comprehensive consumer privacy laws have the following rights:

Right to know

Request a copy of the personal information we hold about you, including categories, purposes, and third parties with whom it is shared.

Right to delete

Request deletion of personal information we have collected, subject to legal exceptions. We will respond within 45 days of verification.

Right to correct

Request correction of inaccurate personal information we maintain about you.

Right to opt out of sale or sharing

We do not sell your personal information and do not share it for cross-context behavioral advertising. If our practices change, we will update this section and provide an opt-out mechanism before any such sharing begins.

Right to limit use of sensitive information

We use sensitive information — including information about minors and academic records — only to provide the AthleteSignal service. We do not use it for advertising or profiling.

Right to non-discrimination

Exercising your privacy rights will not affect your access to or quality of service on the platform.

How to submit a request

Contact privacy@athletesignal.com. We will verify your identity and respond within 45 days. You may submit up to two requests per 12-month period at no charge. You may designate an authorized agent by providing written authorization.

10. Additional Information for California Residents

This section supplements the U.S. Privacy Rights section above and applies to California residents under CCPA and CPRA.

Do not sell or share my personal information

AthleteSignal does not sell personal information and does not share it for cross-context behavioral advertising. We do not have actual knowledge that we sell or share personal information of California residents under 16. If our practices change, we will update this section and provide a clear opt-out before any such sharing begins.

Minors under 18

All users under 18 access AthleteSignal through a parent or guardian account. We do not sell or share personal information of users under 16, and no opt-in for such sharing will ever be solicited.

Shine the Light

AthleteSignal does not disclose personal information to third parties for direct marketing purposes and is exempt from California Civil Code Section 1798.83.

11. Cookies and Tracking

We use cookies to operate the platform, maintain your session, and understand aggregate usage patterns. We do not use advertising cookies or behavioral tracking pixels. You can control cookies through your browser settings; disabling them may affect certain platform features.

12. Changes to This Policy

We may update this policy from time to time. We will notify you by email and post the updated policy with a new effective date when material changes occur. Continued use of the platform after notice constitutes acceptance of the updated policy.
